Protecting your data has always been a priority, this is how your data will be handled going forward and in line with GDPR from May 25th 2018.
What do I hold? I will only hold information that I need in order to provide you with the services you receive from me, such as your name, address, contact details, appointment dates, fee paid, important facts you tell me about your health and wellbeing and any letters requested to be written by me on your behalf. You can ask me at any time what information I hold about you; just ask me in person when you see me or contact me by phone or email (see below for this information). Health and Wellbeing Information includes details like illnesses, operations, soft tissue damage or fractures, medicine, state of mind, how you use your body.
What do I do with my data? I offer you a better standard of service by using your personal data for the following legitimate interests of my business:
(a) Providing the service of massage as required by you and scheduled by both of us;
(b) Contacting you by text or phone call or email about your appointment and other important and relevant information, for instance when I am away;
(c) Telling you by text or email about interesting articles and or programmes on radio, TV, internet or social media that is relevant to something we have discussed and might benefit you;
(d) Keeping brief notes on your health and wellbeing that inform me about you solely for the purpose of your massage treatment (usually this only consists of a notes taken at the initial treatment, after which I try to add any significant changes to your health);
(e) Liaising with others at your request;
(f) Possibly using your data anonymously at facilitated, professional, peer group meetings if I need to offer advice to others or receive advice about treatment strategies.
How do I protect it? I look after your personal information at all times by using appropriate security and technical controls:
(a) Paper notes on your health and wellbeing: I keep these is a locked cupboard. Each only has a name on it as identification;
(b) Letters I write on your behalf (see below) are kept electronically on my computer and either posted or sent by email;
(c) Contact information is kept on my phone or email account. The phone and email account are protected by a password or security code.
How long will I hold your data? If I don’t hear from you about an appointment after a year I will delete your contact information, unless prearranged and consent given that I should keep it. You can ask me to stop contacting you and to erase your contact from my systems as long as I do not have to keep it for legal reasons. I am obliged by insurance law to hold your health and wellbeing information (that is the paperwork I keep with your name at the top and any letters written) for 7 years. After this period it will be destroyed.
Who will I give it to? I do not sell or distribute your personal information to anyone else unless I have your permission or are required by law to a person authorised to obtain data under specific legislation. If you wish for me to transfer your personal information to a third party (e.g. another service provider), I will provide personal information held by me to pass to that third party.
I don’t want any marketing. Other than contact you for the legitimate interests of my business I do not contact any of my clients for marketing purposes. The marketing I might do would be to gain new clients. This would be through general leaflet campaigns or social media. If I feel that you would benefit from another service or you would like information on another service I will either recommend someone while I am with you during a treatment or send you on details with your consent.
Your control over your personal information; to be clear:
You may choose to restrict or control the collection or use of your personal information in the following circumstances:
• if I ever set up a website form or elsewhere (ensure that you do not tick any box which consents to my use of your personal information if you do not want me to use your personal information for those purposes, for instance consent to use you data to contact you for marketing purposes. Remember, some personal information I will have to have as a legitimate interest necessary for the treatment);
• if you have previously agreed to me using your personal information for specific purposes and wish to change your mind;
• If you wish for your personal information to be erased from my systems (unless I have a legal reason to keep information);
• If you wish for me to transfer your personal information to a third party (e.g. another service provider). In this case, I will provide you with certain personal information held by me for you to pass to that third party (or, in certain circumstances, I may be able to transfer that data to such third party directly if you wish for me to do so).
You have the right to:
